If you are thinking about switching from QuickBooks Desktop to QuickBooks Online and have been apprehensive about the transition, QuickBooks has been enhancing the online platform to make it more user-friendly and facilitate the move to QuickBooks Online.
The first screenshot below shows the traditional QuickBooks Online interface and layout, which differs from what you were accustomed to in the desktop version. QuickBooks has recognized this change.

Download and use the QuickBooks Online desktop app
Upon signing in, it defaults to the new online interface, but there is a toggle switch that allows you to access a familiar desktop view. This view closely resembles the home screen you have been familiar with over the years while using QuickBooks Desktop and includes many of the same functionalities and features. It also reinstates the classic top program file menu style bar, which many users have grown used to.
One of the initial inquiries when considering the use of QuickBooks Online is: How can I perform the conversion? This is a common topic I discuss with individuals.
If you have an existing QuickBooks file, I suggest attempting to convert that file to QuickBooks Online first. Naturally, not every file will be flawless, and you might need to make adjustments and/or choose to implement changes at this stage. This could be a chance to restructure and reorganize your chart of accounts, and I advise doing all of this prior to converting your file to QuickBooks Online.
There may be individuals who are knowledgeable about QuickBooks Online that you can reach out to for help. I would also recommend consulting your accounting professional to see if they can connect you with someone who can assist with your QuickBooks Online setup. QuickBooks Online offers different levels of account access, which can be quite beneficial since they won’t need access to your physical QuickBooks desktop version.
From my experience, the support team for QuickBooks Online has been helpful, and retailers have found them valuable for their specific needs during conversions and for understanding some of the subtle differences of QuickBooks Online. Transitioning to QuickBooks Online will involve an adjustment period, but nearly all the retailers I’ve collaborated with over the last few years, whether converting to QuickBooks Online or starting fresh without prior experience, eventually become proficient using the system.
